Grants for organising events
Are you organising a sports, cultural or some other event in Vaasa that is open to the public? The City of Vaasa awards grants to organisers of events that are primarily national, international or aspiring to be international and that take place in Vaasa.
In the future, the call for event grants will be organised twice a year.
- the application period for events taking place from 1 January to 31 May 2025 is from 1 to 31 October 2024.
Submitting an application
The grant should be applied for via the online grant application system only: grant applications can only be submitted during the announced application period.
Help for writing an online grant application is available from the Citizen Services in Vaasa, tel. 06 325 1550, and the Citizen Services service point in Vähäkyrö, tel.06 325 8400. Assistance is available in person, and you can also get help with the actual writing of the application, if needed.
- apply via the electronic Timmi system and during the application periods only
- applications submitted by other means or outside the application periods will not be processed.
- when filling in the electronic application form, clearly state:
- action plan for the event
- report on a previous similar event
- number of visitors
- revenue and expenditure
- marketing plan for the event
- a notice of the event must be published in the Vaasa Region Event Calendar vaasa.fi/events
- if the event is not listed in the Event Calendar at least 1 month before the event, 10% of the grant must be paid back.
Applying for grants
Associations and their representatives can register in the online grant system already before the application period.
To apply, you will need:
- online bank user IDs or a mobile ID for registration and login.

When filling in the electronic application form, clearly state:
- estimated number of visitors (audience, participants)
- is the event held in Vaasa and is it is open to the public?
- action plan for the event
- report on a previous similar event
- number of visitors
- revenue and expenditure
- plan on marketing activities, and marketing budget

Event Calendar
Don’t forget to enter your event info in the Vaasa Region Event Calendar.
- If the event is not listed in the Event Calendar at least 1 month before the event, 10% of the grant must be paid back.
Social Media
The City of Vaasa produces a weekly event summary on the Instagram account of the City of Vaasa. The events will be compiled from different sources, including the Vaasa Region Event Calendar.
Visit Vaasa will also highlight events on their social media channels.
Recipients of an event grant may include the City of Vaasa as a co-organiser if they decide to create a Facebook event for their event. This will bring the event greater visibility on social media.
Criteria
The Working Group on Event Grants has decided not to award event grants to:
- spring shows of sports, dance, or other similar organisations, as they are considered to be part of their normal activity
- political events
- sports camps
- small events in different districts in Vaasa, as these are considered to fall within the budget of the district councils.
- organizers of concerts and art workshops are advised to apply for a cultural grant.
When awarding grants, priority will be given to events with national or international aspirations, content and activities that focus on the happiness, appeal, attractiveness, and equality in the city of Vaasa and especially of young audiences. Event organisers should also have other funding; the City of Vaasa cannot be the event’s only sponsor.
